Sharing documents with the class
Here is how to set up correct access in Google Docs for comments but NOT
edits, for the documents you share with class. In this example we will use
5xx-2020 as the example class group, but you will substitute the name of
your actual class group. Our sample share documents will be called Content
Theory Root.
- Log into your Gmail account that you use with class, and which,
presumably has been added to the 5xx-2020 Google Group (so others can
share with you, by similarly adding group share access).
- Pull up your root content theory document in docs.google.com. Be
sure it is named with YOUR NAME so we can find it among all the others.
- In the upper right-hand corner is a "Share" button. Select it.
- The email for the Google Groups account is:
5xx-2020@googlegroups.com Use this for sharing your content theory
development documents with the class group.
- Under "Sharing | Advanced" there will be a dropdown menu for the
type of share. Change this from "Can Edit" to "Can Comment" for the
5xx-2020 group. This will allow others to make suggested edits, and
comments. You, as the owner, can accept the suggestions or delete them,
and can also delete the comments or reply to them.
- In this way you have complete control over the contents of your
shared document, but can accept suggestions and commentary from others.
- You will also want to check the box for "Prevent editors from
changing access and adding new people"
Google Drive for organization
Note that you can also organize the shares of other class members by putting
the shares into a directory using Google Drive.
- Log into the Gmail account you use for class.
- in drive.google.com use +New to create a new subdirectory.
- Click on "Shared with me".
- With the control key down, select all of the shared 5xx-2020 documents.
- With the control key up, drag the documents into the sub-folder for
5xx-2020.
- You can now access all of the 5xx-2020 documents from the sub-directory.
- When you want to comment on the 5xx-2020 docs of others, double-click on
the doc.
Lastly, for some documents you can also share as read-only, with no comment
access.
