Purpose
Through the Research Conference Program, the University Research Council (URC) helps to support research-related conferences hosted by DePaul. Events may center on any academic discipline, professional field, or research topic of interest to DePaul faculty. Multidisciplinary conferences sponsored by a number of units, especially units in different colleges or schools, are welcome. Also acceptable are proposals for scholarly events that directly explore facets of the University's mission.
Requests must demonstrate a link between the programs or priorities of the University and the proposed conference; the Council
does not fund events for which DePaul's main function is merely to provide a site or logistical support. It is desirable but not required that funded events offer learning opportunities for students. Funded events must be of a nature and quality that will bring academic credit to the University.
The Council will consider requests for subsidies of up to $4,000 per event. This program is intended to supplement, not replace, other sources of support, such as registration fees, departmental funds, association subventions, and external grants. This grant program should not be the sole funding source for the proposed event.
This program is intentionally competitive. The Council will review funding requests first on the basis of comparative academic merit and then, if warranted, on the basis of budgetary considerations. The Council may elect to fund all, none, or part of any proposal. Because the program is competitive, DePaul groups sponsoring annual conferences should assume funding will not be available from the council for their conference each year.
Deadlines
The program deadlines are 5 pm, October 15 and March 15 for events scheduled to occur within twelve months of the application date. Applications should be submitted at least six months before the proposed event is scheduled to take place. Conference grants will be closed 4 months after the date of the scheduled conference. The conference date must be specified in the proposal work plan.
Eligibility
All full-time faculty of the University are eligible to apply. No more than one Research Conference proposal per person may be submitted at any one time, including joint proposals. Grant recipients, who have overspent their grants, will not be eligible until the overage is resolved. A department, school or college, center or institute, or other internal groups of faculty are eligible. Events must take place on or near one of DePaul's campuses and must be open (subject to customary registration) to interested members of the University community, as well as to scholars and practitioners from outside DePaul.
Eligible Expenses
Council funds may be requested for out-of-pocket expenses necessary to sponsor a planned event. Allowable expenses include, but are not limited to external speakers' fees and travel expenses, conference materials, marketing costs, site guarantees, refreshments for participants, and dissemination of conference proceedings. Council support may not be sought through this program for compensation to participating fulltime DePaul faculty or staff, materials or services normally provided at no cost, and materials or services supportable by registration fees or other external means. This program may not be used to support lecture series. Applicants should refer to General Guidelines - Expenses for a complete list of eligible and ineligible expenses. Normally, food cannot represent more than 50 percent of the funds requested from the council to support a conference. However, conferences that are substantially funded by external sources may request a higher percentage. The decision is at the discretion of the URC.
Applicants are encouraged to be as economical as possible in seeking funds from the Council. The Council expects that registration fees or other co-funding arrangements normally will cover a substantial portion of a conference's direct expenses. Advice concerning external sources of support is available from the Office of Sponsored Programs and Research (x2-7595). If registration income or other sources of support exceed levels anticipated at the time of application to the Council, and are not fully consumed by expenses, the Council will expect to be reimbursed in proportion to its share of initial funding.
If a proposed event requires departmental or college support, the availability of campus facilities, or some other form of institutional commitment not yet secured at the time of application, the Council may extend a contingent award.

Standards Training
Completion of the Financial Affairs internal
grants training workshop is mandatory for internal grant recipients and
satisfies the annual Management Standards Training requirement for
budget managers at DePaul. No grant funds will be released until the
recipient has completed budget manager training. Topics include understanding chartfields, use of web authorization, use of SAHR delegation, finding
and reading Financial reports, correcting transactions, requesting budget
changes, review of key compliance standards, overview of travel
guidelines and eProcurement procedures, and overview of payroll
guidelines.
Review Criteria
Consult the General Guidelines when preparing proposals. Proposals are evaluated competitively on the following criteria:
- promise of quality in the proposed research conference or colloquium;
- extent of scholarly interaction among DePaul participants and external representatives;
- clarity and specificity of the proposal;
- impact of the event on institutional priorities, if applicable;
- necessity of Council support for successful sponsorship.
Final Report
A narrative final report will be due to the Chair of the University Research Council within four month after the conference is completed. The report should describe the events of the conference and include a final statement of conference revenues and expenditures. Failure to complete a report will result in the faculty member being ineligible for future funding from the councils.

Outline of Proposal
Submission of preliminary applications to the Director of Faculty Development is encouraged. Proposal submission is through the PeopleSoft system and will require your campus connection login. Please note that the required parts of the proposal will appear according to the type of grant requested. You should fill out any box that appears. You may copy and paste text into the box. You may also submit PDF files. In addition, you will be asked to attach a proposal narrative of 5 pages. To make changes to your attached files, you should delete the existing file and attach your revised one. Below is an outline of the information that is required.
A title that is descriptive of your project.
An abstract of the project, not more than 10 lines long.
The narrative should include the information indicated as 1-4. It should be not more than 5 double-spaced pages and in 11 point font.
1. Detailed description of the event including objectives, likely presenters, intended audience, and anticipated benefits for the applicant, the University, and the attendees.
2. Describe how the event relates to programs or priorities of the University.
3. Indicate who will be involved as planners, presenters, or moderators. Describe any co-sponsorship being sought or already confirmed.
4. List of all support or funding directly or indirectly related to this project.
